CRM is a sales management tool, not just a database of contacts

CRM is a sales management tool, not just a database of contacts

Are you familiar with a situation where CRM exists in a company, but actual work with customers is conducted outside the system - in Excel, messengers, and calls? Some data is recorded, but a unified customer process is not established: transactions are conducted outside of CRM, tasks are not monitored, and communication is fragmented. As a result, appeals are lost, processing times are violated, and the manager does not have a complete picture of sales.

Under such conditions, CRM remains a storehouse of contacts, but not a tool for management and sales growth.

However, initially, CRM's task is different.

What CRM should actually do

CRM (Customer Relationship Management) — a customer relationship management system that integrates data, communication, and sales processes into a single environment.

CRM system or Customer Relationship Management is a tool for managing sales and automating business processes. It allows you to organize your work with customers: monitor transactions, tasks, and deadlines, increase conversion at every stage, and manage the entire transaction cycle - from the first contact to the repeat purchase.

In a functioning system, the business sees:

  • at which stage applications are lost;
  • from which sources they come;
  • how high-quality the lead is (budget, deadlines, and other parameters - with the collection form configured);
  • how managers process leads;
  • how long the transaction takes;
  • which channels actually generate sales.

In this case, CRM becomes a management tool: it allows for monitoring the process, identifying bottlenecks, and making informed sales decisions.

Why CRM is not working

Yuri Samoilenko

Head of Corporate IT Solutions and Services

In most cases, the problem is not in CRM. The system does exactly what it is set up to do. If it lacks sales logic, roles, and control points, it will not provide manageability, no matter how functional it may be.

The main reason is the lack of a systematic approach: CRM is implemented as a separate tool rather than being integrated into business processes and sales management.

  • CRM is implemented without the described processes

    The system is configured according to the vendor's template, without considering the real logic of the company's work: funnels, roles, transaction stages, and control points. As a result, CRM does not reflect the actual sales process and is not used as a working tool.

  • Automation is not a process, but chaos

    If applications were lost between Excel, messengers, and calls before implementation, CRM simply transfers this fragmentation to the new interface. Instead of control, another fixation system appears.

  • No business owner

    In the absence of a responsible person for implementation results, the system is configured technically rather than taking business objectives into account - and fails to answer key questions regarding sales and revenue.

  • Dispersed channels and lack of integration

    Applications come from various sources - website, Telegram, calls - but are not combined into a single system. CRM does not become a unified management center.

  • Data issues

    Improper migration, duplicates, and incomplete customer cards lead to distorted analytics and reduce the system's value for business.

  • Inappropriate solution or implementation format

    Either a system that is too complex or too simple is selected without considering the business objectives. This often leads to overload or, conversely, a lack of functionality.

  • Lack of development after launch

    CRM is not a static tool. Without further adjustment, data quality control, and adaptation to changes in business, the system quickly loses its relevance.

Is one CRM sufficient, or do you need an ecosystem of solutions?

There is no universal answer - everything depends on the business structure, processes, and requirements for automation.

A single CRM system may be sufficient if:

  1. unified sales department;
  2. similar logic for working with customers;
  3. there is no complex organizational structure or separation of processes.

In many cases, modern CRMs allow for a wide range of tasks to be covered within a single system. However, when attempting to combine all processes into a single tool, the system may become more complex: the logic becomes overloaded, additional settings appear, and the ease of operation decreases.

Additional systems or solution pairing are required if:

  1. the business has several areas with different operational logic (for example, wholesale and retail);
  2. processes differ significantly between teams;
  3. requires integration with accounting systems, warehousing, finance, or analytics.

Regardless of the chosen solution, CRM efficiency depends directly on how well it is integrated with other systems: website, online store, telephony, warehouse, and analytics.

What Progressive Media offers

The Progressive Media approach is built on building a managed sales process and its digital support.

Work begins with business analysis:

  • current processes, sales funnel, and application loss points are studied;
  • assesses the logic of distribution and processing of leads;
  • engagement channels and their interconnection are analyzed;
  • detects gaps, duplicates, and data loss;
  • processes that are not digitized and are controlled manually are identified.

At this stage, the concept of the solution and the architecture of the future system are formed.

Next, the full implementation cycle is implemented:

  • system analysis and formalization of requirements;
  • design the logic of processes, roles, and work scenarios;
  • preparation of project documentation;
  • deployment and basic system configuration;
  • integration with the website, 1C, telephony, and other services;
  • adapting processes to business requirements and implementing refinements;
  • testing and pilot launch;
  • team training and transition to full operation.

After launch, the solution is supported and developed: users are supported, functionality is refined, and the system is adapted to changes in the business

When the funnel, team roles, and customer relationship logic are defined, CRM becomes a working management tool: providing transparent analytics, control at every stage, and a foundation for sales growth.

Without structured processes, the system does not affect the result and remains an auxiliary tool.
